Information clause in e-mail correspondence

In accordance with Article 13(1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (the “General Data Protection Regulation” or “GDPR”), please be informed that:

The Copernicus Science Centre (hereafter the “CSC”), headquartered at the address of 20 Wybrzeże Kościuszkowskie, Warsaw 00-390, Poland, acts as the controller of personal data in connection with correspondence. The Data Controller can be reached at the above address or by emailing: info@kopernik.org.pl.

Purpose and Legal Basis for Data Processing

The Data Controller processes the contact information of both the senders and recipients involved in email correspondence, which is included in the content of the correspondence, for the following purposes: facilitating email communication with the Data Controller and engaging in communication with recipients; documenting agreements made with clients, contractors, and other individuals; receiving letters, notifications, and applications in electronic form, such as complaints, legal claims, and other requests; as well as protecting against claims and pursuing any claims that may arise. This processing is based on the legitimate interest of the CSC (Article 6(1)(f) of the GDPR), which involves managing correspondence related to our operations.

Data Retention Period

We retain correspondence for the period necessary to effectively and properly meet the above-stated purposes, as appropriate for each purpose, unless the content is essential for pursuing or defending against legal claims, in which case selected messages will be retained until the statute of limitations for such claims expires.

Rights of Individuals

Regarding the processing of your personal data (in the situations specified by GDPR), you are entitled to: a. request access to your personal data, b. request correction of your personal data, c. request the portability of your data, d. request the deletion of your personal data or restriction of its processing, c. object to the processing of your data. These rights can be exercised by writing to: info@kopernik.org.pl.

Furthermore, you have the right to file a complaint with the President of the Personal Data Protection Office, should you believe your personal data processing is in breach of legal requirements.

Providing your data is entirely voluntary; however, failure to provide it may impede continued correspondence.

Data Recipients

Your personal data may be shared with entities providing services to CSC (e.g., entities managing IT systems) and entities authorized by law.

Transfer of Data to a Third Country/International Organization

Your personal data will not be transferred to countries outside the European Economic Area or to international organizations.

Automated Processing, Including Profiling

Your personal data will not be subject to automated processing, including profiling, that could have legal impact on you or similarly affect your situation in a significant manner.
